Summary of Position Function

An EHR (Electronic Health Records) Trainer is responsible for providing training and support to healthcare professionals and staff members on the proper use and implementation of electronic health record systems. Their primary duty is to ensure that all users understand the functionalities of the EHR system and can efficiently navigate and utilize it to improve patient care, streamline administrative processes, and maintain accurate medical records. The EHR Trainer designs and conducts training sessions, both in-person and online, tailored to the specific needs and roles of different users within the healthcare organization. They create training materials, documentation, and tutorials to aid in the learning process and offer ongoing support to address questions, troubleshoot issues, and ensure a smooth transition to the EHR system. Their role is crucial in maximizing the benefits of the EHR system, enhancing overall efficiency, and promoting a culture of continuous learning and technological proficiency within the agency. This position reports to the Spectrum Education and Training Institute Director, assisting the Training department with all program initiatives/projects.

COMPENSATION: $19.59 – $23.89/hr

Education Requirements

  • Preferred Bachelor’s degree Human Services, Business Management or related field
  • Required Associate’s degree in Human Services, Business Management or related field

Experience

  • Minimum of 1-3 years, depending on degree, in related field

Major Duties & Responsibilities

  • Conduct EHR Training Sessions: Plan and deliver training sessions for direct care staff at various levels, including clinicians, case managers, peers, administrative personnel, and support staff. Training may be conducted individually or in groups and held onsite or through virtual platforms.
  • Provide Hands-On Support: Offer hands-on support and guidance to end-users during training sessions and as needed post-training to address any questions or issues that arise.
  • Develop Training Materials: Support the training department in creating, updating, and maintaining training materials such as user manuals, guides, and online resources to support EHR users in learning the system’s functionalities effectively.
  • Customize Training Programs: Coordinate with the Director of the Training Department and the vendor to tailor training materials to meet the specific needs of different departments and roles within the organization. Recognize varying levels of EHR proficiency and adjust training approaches accordingly.
  • Stay Informed on EHR Updates: Keep abreast of EHR system updates, new features, and industry best practices. Incorporate this knowledge into training programs and share relevant information with end-users.
  • Assess Training Effectiveness: Conduct evaluations and assessments to measure the effectiveness of training programs and implement necessary improvements.
  • Assist in EHR Implementation: Collaborate with the implementation team during the initial rollout of the EHR system, providing guidance and support to ensure a smooth transition.
  • Promote EHR Best Practices: Educate staff on best practices for data entry, documentation, and maintaining patient confidentiality and security within the EHR system.
  • Safety Training: Provide technical training on apps and programs that support staff safety and security (i.e., panic alarms, Life360, SafetyLine, etc.).
  • SharePoint: Offer training and support on utilization of SharePoint for staff.
  • Serve as a Subject Matter Expert: Act as a subject matter expert for the EHR system, offering insights and suggestions for optimizing system use and workflow efficiency.
  • Other duties as assigned

SKILLS/COMPETENCIES:

  • Excellent technology skills
  • Demonstrated capacity to effectively utilize multiple technologies, including but not limited to Millennium, NetSmart, Excel, Outlook, Power Point, SharePoint
  • Prior experience as an EHR Trainer or in a similar healthcare training role.
  • Strong knowledge of Electronic Health Record systems and related software applications.
  • Excellent communication skills, with the ability to present complex technical information in a clear and understandable manner.
  • Strong organizational and multitasking abilities to manage multiple training sessions and responsibilities effectively.
  • Analytical mindset to assess training needs and continuously improve training programs.
  • Familiarity with adult learning principles and instructional design methodologies.
  • A commitment to maintaining patient privacy and confidentiality in accordance with healthcare regulations and best practices.
  • Flexibility to adapt training approaches to suit the diverse needs of healthcare professionals.
  • Strong organization and communication practices
  • Ensures staff member confidentiality is maintained
  • Basic understanding of the behavioral health treatment system and related programs/services
  • Strong customer service approach to work
  • Ability to collaborate effectively with multiple and diverse staff and stakeholders
